PEPPOL stands for Pan-European Public Procurement Online and is a standardised system for sending electronic invoices.
In practice: you no longer send PDF invoices by email.
Invoices are sent automatically, digitally, directly between accounting systems.
How it works
- You create the invoice in your software
- You send it through the PEPPOL network
- The client receives it automatically in their system
No email. No PDF. No manual errors.
What changes from 1 January 2026 in Belgium
Starting from this date:
Structured electronic invoicing becomes mandatory for B2B transactions.
This means:
- between companies (Ltd, SA, self-employed, etc.)
- NOT for private individuals (B2C)
In short:
- Have a company in Belgium? → you are required
- Issue invoices to other companies? → you need PEPPOL
- Work only with private individuals? → NOT (yet)
Who is required to use PEPPOL
- Self-employed (zelfstandige)
- Limited companies (BV)
- Public limited companies (NV)
- Any company registered in Belgium
Regardless of the size of the business.
It does not matter if:
- you are just starting
- you have low income
- you work part-time
If you issue B2B invoices → you must use PEPPOL.
What is NO longer accepted
After 1 January 2026:
- Invoices sent only by email (PDF) – NO
- Invoices in Word / Excel – NO
- "Manual" invoices without a digital system – NO
These will no longer be considered compliant for B2B.
Concrete examples
Example 1 – Self-employed
You are a plumber working for a construction company.
Before: you sent a PDF invoice by email.
After 1 January 2026: you must send the invoice through PEPPOL.
Example 2 – Small business
You have a cleaning company and invoice other companies.
All invoices must be created digitally and sent through PEPPOL.
Example 3 – Freelancer
You are a graphic designer with company clients.
Even if you work alone, you are required to use PEPPOL.
What you need to do concretely
1. Check if your software supports PEPPOL
Most modern accounting software already includes electronic invoicing and PEPPOL integration. If not, it needs to be changed.
2. Activate a PEPPOL access point
To send invoices, you need an "access point" (authorised intermediary). Usually, this is included in the accounting software.
3. Configure your company data
You need to have:
- valid VAT number
- correct company details
- PEPPOL identifier
4. Test before the deadline
Do not wait until 1 January 2026.
Recommendation: start using the system 2-3 months in advance. Avoid stress and mistakes.
What you risk if you do not comply
If you do not implement PEPPOL:
- invoices may be considered invalid
- problems with VAT deductions
- payment delays
- possible sanctions
